General Description of the Position The Programs and Operations Officer: - Ensures the smooth management of the Association's daily operational processes; - Transforms strategic goals into specific action plans and tangible results; - Supports the formation and strengthening of committees and coordinates the planning and implementation of programs and projects; - Manages multiple projects and processes simultaneously, prioritizes effectively, and meets agreed deadlines; - Collaborates effectively with individuals having different interests and communicates clearly, professionally, and constructively; - Analyzes information and identifies problems and risks in a timely manner; - Works independently and assumes responsibility for achieved results.

Key Functions and Responsibilities Managing Programs and Projects - Manages the full cycle of the Association's programs, projects, conferences, and other events - planning, operational, administrative, and logistical coordination, implementation, progress and budget monitoring, results evaluation, and reporting. - Collaborates with the European HR Association and coordinates joint initiatives.

Committee Support - Provides operational, administrative, and logistical support for committee work plans, meetings, and initiatives; - Monitors agreed tasks and deadlines and ensures timely information exchange between committees, team, President, and Senate.

Managing the Team and Daily Operations - Plans, coordinates, and monitors the performance of the Services Officer and Corporate Membership Manager; - Ensures the smooth management of daily operations, internal processes, and communication between teams; - Coordinates the activities of outsourced services, invited experts, consultants, freelancers, contractor companies, and suppliers, and controls agreed conditions, deadlines, and service quality.

Managing member relations, CRM and membership processes - Coordinating membership application, new member admission, membership renewal and termination processes; - Monitoring full, accurate and up-to-date production of member data in CRM; - Monitoring membership fee status and coordinating with relevant employees and accounting services; - Analyzing feedback, needs and initiatives of association members and ensuring relevant response; - Timely informing members and monitoring their satisfaction and engagement; - Timely sharing membership and engagement-related risks with the President and Senate.

Marketing, PR and Communications - Coordinating planning and implementation of association's marketing, PR and branding activities; - Ensuring timely, consistent and association brand-compliant dissemination of information through internal and external communication channels; - Coordinating cooperation with relevant committees, experts and external service providers.

Partnership relations - Identifying potential partners, as well as grant, sponsorship and other types of cooperation opportunities and facilitating attraction of support; - Coordinating communication with partners in agreement with the President, Senate and committees.

Financial coordination, budgeting and management reporting - Coordinating preparation of association's budget and monitoring its implementation; - Monitoring revenues, expenses, liabilities and program budgets and timely identifying financial risks; - Cooperating with accounting company to ensure accuracy of financial information and timely preparation of reports; - Submitting periodic management reports to the President and Senate on financial position, program progress, member engagement and operational risks.

Procurement and representation - Organizing procurement process: searching for suppliers, comparing offers and controlling service quality; - Representing association's interests within delegated authorities and financial limits when interacting with relevant organizations and signing relevant documents.

Qualification Requirements - Higher education in Business Administration, Management, Project Management, Public Relations, Social Sciences or other related fields; - At least 3 years of experience in managing projects, programs or operational processes; - Experience in managing the full cycle of a project - planning, budgeting, implementation, monitoring and evaluation of results; - Experience in coordinating the activities of team members, working groups or contractors; - Practical experience in working with budgets, financial monitoring and management reporting; - Knowledge of English at least at B2 level; - Fluent command of Georgian in writing and speaking; - Ability to work with office programs, online collaboration platforms and digital project management tools; - Experience of working with grant projects, sponsors or partner organizations will be considered an advantage;
